Email Insights will allow Administrators to analyze all employees’ email usage. It also allows for Managers to track all official communications going in and out of the company to ensure complete transparency. With the help of Email Insights, Managers can track the following:

  • Graphically view the email activity within the company
  • Identify all employees’ contacts (i.e. preventing losing sales leads during a server crash or personnel resignation)
  • Point out corporate communications to personal emails (i.e. spotting misuse of time for personal purposes or data leakage)
  • Assess email effectiveness (i.e. amount of email sent / received versus performance)
  • Filter through the communications to find specific conversations

 

1) Login to the Dropsuite Portal

 

 

2) From the left side menu options select INSIGHTS > RELATIONSHIPS

 

                                                                 

3) On the ‘Relationships’ page, use the filters to narrow the scope of the report

Enter an email ID; domain; or keyword/employee name from the email address to have this report about an individual or domain’s email trends

Do you want to see all email relationships? Only sent ones? Only received ones? Or only emails with attachments? Select based on your requirement.

Select between ‘All’ or provide a custom date range by entering dates in the ‘FROM’ and ‘TO’ fields?

4) The specialized relationships report is displayed as a graph

 

You can open the report as a PDF by clicking the Print button

OR

Click the Download button and select a file format CSV, PDF or XLS for the report

The report will be downloaded in the selected format.

 

                                                       

Interpreting the Graph

The following table shows how to interpret the graph:

Colors (only circles are colored)

Each color represents a domain such as @gmail.com. This helps detect fraud such as emails being forwarded to personal email accounts, etc.

When you place your mouse-over download.png different elements on the graph, you will get detailed information in the form of a pop-up information box.

Filtering the Graph for Focused Data

There are 3 ways by which you can acquire more focused data about email interactions (and even use them in combination):

1)      Select email IDs (circles)

2)      Zoom-in to specific area on the graph

3)      Search feature

You can focus the data on one or more email IDs either by selecting the circles (email IDs) on the graph or by using the search option:

1 Filter through Selection

1)  Select all the email IDs that you want view their email interactions for by clicking on the circles

 

       

                                         Selected circles are highlighted in red

2) Click on the Filter Selected button

 

3) Only the selected circles (email IDs) and their interactions will be displayed

 

If required, you can remove a particular email address by 1) clicking the arrow button () and then 2) clicking on the x beside the email address which you would like to remove. 

 

 

 Note: To reset the graph to the non-filtered view, click on the Reset Filter button. 

2 Zoom-in

You can double-click on any part of the graph to zoom-in for a closer look and double click again to zoom back out.

3 Search Feature

You can use the search feature to narrow the focus to a single email ID. You can use any one or more of the following criteria:

  1. i) Email ID – Enter an email address. Example: janeDoe@someDomain.com
  2. ii) Domain – This will display all sent and received email interactions for that domain. Example: @someDomain.com

iii) Keyword/employee name:  This will display the interactions of all email IDs which have the keyword/employee name in them. Example: Ron
